Payment schedule and onboarding protocol for Ketamine Assisted Couples Intensive Retreat 2025
Below is the flow of the application, onboarding and payment schedule for this retreat. Please review it carefully.
First, both partners will fill out their own separate application, which covers the medical and psychological screening questions which might be potentially disqualifying. If you are able to answer “no” to these questions (and are being fully truthful) you will very likely be accepted to the retreat and may proceed to paying the deposit and intake fees.
If you answer “yes” to the medical or psychological screening questions, please still do submit the application, and feel free to reach out for confirmation that your answers do not disqualify you, prior to paying the fees. Please note that a “yes” answer to any of these questions does not necessarily mean that you are not eligible for this retreat. Most people will be eligible even with a “yes” answer; we simply invite you to check to avoid any lost deposit money, if you have any questions about your eligibility.
Once you have submitted your application, the following steps and payment instructions apply to each couple’s onboarding process.
First, you will place a credit card on file with us, which will be charged for payments as below, unless other arrangements are made as described. Please note that credit card fees of 3% will be added to each credit card payment other than the first nonrefundable deposit. You may leave your credit card information over the phone with us at (413) 825-9922 or fill out our secure credit card form through the Osmind platform.
Once a credit card is on file, the following steps will occur.
When placing a card on file, you will pay the $200 nonrefundable deposit, at which time you will be offered booking calendar links for the medical and psychological intakes. This deposit is not subject to credit card fees, covers both partners, and is not refundable.
You will schedule your intakes with Dr. Gilman and Dr. Scott. These are two separate appointments (psych and med). Both partners will need to be present on zoom for both appointments.
At the time of scheduling, you will make payment for the intakes of $300 per couple for each intake ($600 total).
These payments will be charged to your card on file (plus 3% credit card fee) unless you indicate your intention to pay by Zelle or check (process below). If such payment is not received within two business days after the appointment is booked, your card on file will be charged. Payment MUST be received prior to the beginning of your intake session.
If you are deemed ineligible for the retreat after the intake sessions, you will not be charged any further fees. If you have not yet completed the second intake (for example are screened out at the psych intake but have not yet completed the med intake) you will receive a refund of the cost of the intake not yet attended. The deposit is not refundable at any time.
After successful completion of both the med and psych intake sessions, your card on file will be charged for the remainder of the cost of the retreat ($3375):
$3300 per couple for tuition
$75 per couple for medicine for both partners for the full retreat

As a means of enhancing our ability to stay in the black, we have had to stop absorbing the thousands of dollars of costs to our clinic each year from the 3% fees on credit card payments going forward.
If you would like to utilize the convenience of credit card payments, we are happy to continue charge your card on file with the addition of the 3% fee to the amount charged.
If you prefer to avoid paying this fee, you may make payment through Zelle, using the ID welcome@sapiencetherapy.com, or using the QR code below, OR you may mail a check to the address below.
If you mail a check, ensure that you contact the Sapience administrative assistant Maria by phone (413) 825-9922 or email scheduling@sapiencetherapy.com to alert her to hold off charging your card until we can ensure that the mail has arrived.
If you have intended to mail a check and payment has not arrived by the end of the business day prior to your intake session, your credit card will be charged (including 3% fee) and your check will be returned to you when received.

Refund Policy:
The $200 application fee is not subject to the 3% fee and is non-refundable.
Intake fee payments are paid at the time of scheduling, and are not refundable, with the exception of a cancelled appointment due to being screened out by the organizers. Completed appointments will not be refunded.
Complete payment including tuition and medication costs is due at the time of full acceptance (at the completion of both intakes.)
A 50% refund may be requested for the tuition payment if cancelling 60 days or more prior to the retreat start date. Please note all fees are non-refundable beyond this date.
Cancellation due to medical emergency: Please provide appropriate documentation for cancellation in the event of a medical emergency. Refunds of tuition fees will be considered on a case-by-case basis.
